3 prompts to write your monthly report in 10 minutes
A practical three-step method to turn scattered notes into a clear monthly report with ChatGPT or Claude.

The monthly report is one of the tasks people postpone the most: you collect numbers from different files, remember what you did over four weeks, then write it all up formally. The good news is that language models are great at exactly this: organizing information and wording it. Here are three ready-made prompts that cut the task from two hours to about ten minutes, as long as you give the model good raw material.
Step 1: dump the raw material
Don't write yet. Open a text file and paste everything about the month: important emails, sales or delivery numbers, problems you faced, meetings. Order and language don't matter. The richer the material, the more accurate the report. The golden rule: the model doesn't invent your achievements, it organizes what you give it.

Sort them into four groups: achievements, numbers, problems, next steps. Do not add anything that isn't in the notes.Step 2: turn the groups into a report
Once sorted, ask for a report in the tone your manager expects. Reports for senior leadership need a short executive summary first; technical reports need more detail and numbers. State the length clearly, or the model will write more than needed.
Step 3: check the numbers and ask for critique
Never skip this step. Compare every number with the source, because models sometimes copy numbers wrong. Then ask the model to play a critical manager: what questions would they ask? Answer them before you send the report.
Takeaway
AI won't write the report for you, but it removes the boring part: sorting and wording. You stay responsible for the facts and the final call. Try the three prompts this month and compare the time spent.
